Problems with Evaluations

The certificate is not showing up.

The IT team ensures the course and evaluation are completed, and that participants have selected to generate a certificate. Download the certificate to send to the participants. Check the status of the participant in the Evaluations App. If you see a note that the person has “No credits” then assign the credits. If the course is asynchronous, the appears next to their name if we have received notification from Docebo that they have finished the course. If that icon isn’t in place, then review the user’s progress in Docebo so you can advise them what they need to do to complete the course. If the course is complete in Docebo, you may choose to manually complete the user by clicking on icon that looks like a person.

People forget to request a certificate.

You can do this from the Evaluations application, click on the certificate icon and select the credits to generate the certificate. Download the certificate to send to the participants.

The evaluation is giving me an error when I click on the link.

Multiple surveys with the same name (conflict) and the primary one is in the trash. Delete the surveys not in use and contact the Support to ensure the right evaluation is attached to the event.

Descriptions are not being changed for credits.

When selecting credits for the event, add the credit statement, or it will add the generic statement.

When generating a certificate, I am getting an error.

If the user has credits assigned and has finished the course, then you may want to check the credit totals. Each session must have at least 0.1 credits in order for the system to work. If you have less than that, your certificate will not generate. 

I never got my certificate.

Make sure the participant selected credits; if not, ask them which ones they would like. Go to CASCE, then to Quick Registration, and add the credits to that user.

There is a random / in my Evaluation title.

You have to edit the evaluation in Alchemer to remove the /. Here is a guide on how to remove it.

Problems with Docebo

I am getting a 403 error when I try to open my course as a learner.

Make sure the event is published and not in maintenance mode.

I am (or my participant is) unable to log in to my account.

All logins to Docebo for our staff and learners should come through Web Services. You or your learner should always log in using the black bar at the top of the webpage and then click on the Courses and Events icon to get into the course. Bookmarking a course will not work. Make sure the user is launching Docebo from Web Services and not trying to log in to Docebo directly.

I never got my evaluation.

Email is not listed in the user’s information (has caused issues getting evaluations). Find the user and add the email inside Docebo.

I cannot upload anything to Docebo.

The staff need to have the correct permissions as a course creator to be able to upload directly to Docebo. If you do not have this, then reach out to your supervisor and have them fill out a staff form. When testing, make sure you are the instructor, not the learner, when checking the course. 

Other Common Issues

The user no longer has access to the locked email address.

The user can complete the form by going to the sign-in page and clicking on the link to reclaim their account. You can verify their home address and phone number listed on the account. Then reach out to support, letting them know the user has verified that they are the person in question. From there, Support will change the username and send the participant detailed instructions on changing their password and using their new updated username. The password is not working.

Verify that the participant is using the verified username. Make sure they are logging in the correct place. Fire off a password reset by going to the user record in web services and scroll down to the Account Recovery Links section. Then generate a recovery link. If you do not have that access, you can input the user’s email or send them this link: https://www.ncahec.net/recover-account.

The user cannot find the event they registered for or wanted to register for.

The event has passed or been canceled and is not available to participants in the VCC.

The user cannot access the email that is currently attached to their account.

They will need to fill out the information here. (This is to verify they are the correct person)
This is how the Program Offices decide which one is the primary record.

The webinar link is not listed in the VCC event.

To help your participants, you can use the Landing Page to list the link to the course. Then the registered participant can click on a “ from their Courses and Events page to get into the course. Go to the event and select edit. Make sure the landing page is turned on, then scroll down to the Custom Join Link URL and add the webinar link. Here is a step-by-step visual with instructions.
